DIGITAL OPTOMETRY SOLUTIONS (Pty) Ltd (“we”, “us”) is committed to protecting personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA). This notice explains what we collect through this website and our products, why, and the rights you have.
When a practice subscribes to any of our products we collect the practice's name and contact details, the account holder's name and email address, and staff account details the practice chooses to create. Payment is processed by Payfast, a licensed South African payment processor; we do not collect or store card numbers.
This website does not use advertising trackers or third-party analytics cookies. Standard technical logs (such as IP address and pages requested) may be kept by our hosting provider for security and reliability. If you email us, we keep the correspondence so we can respond and keep a record of the relationship.
Some of our products collect patient information on behalf of subscribing practices — for example questionnaire responses, screening results or prescription records entered by the practice. For that information, the subscribing practice is the Responsible Party under POPIA and we act as the Operator, processing it only on the practice's instructions and only for clinical eye care. Patient-facing consent notices are built into the products that collect patient information.
Patient information is never sold and never used for advertising.
We use practice and account information to provide and support the subscribed products, to bill subscriptions, to communicate service and product updates, and to meet our legal obligations. We do not sell personal information to anyone.
Data is stored in encrypted cloud databases hosted in the European Union (AWS eu-central-1, Frankfurt), with access limited to authorised personnel and, for patient data, the subscribing practice's own staff.
We keep information for as long as a subscription is active and as required for legal and accounting purposes. When a subscription is cancelled, the practice's product data is retained for 30 days (during which an export can be requested) and then permanently deleted. Patients may request deletion of their information through their practice, or from us directly, at any time.
You have the right to access your personal information, request correction of inaccurate data, object to processing, request deletion, and lodge a complaint with the Information Regulator of South Africa at inforeg@justice.gov.za.
